Use of Facilities
The terms of use of the golf courses and other amenities and the associated fees and charges are subject to change from time to time by Sidney Colen & Associates, Ltd.
Lost & Found
Articles found in all buildings should be turned into the attendant in the Recreation Center or Arbor Fitness Center. Non-valuable items may be claimed during regular hours of operation. Items of value will be secured separately and may be claimed at the Recreation Center or Arbor Fitness Center Office. Items will be held for 30 days, after that time they will be donated to charity. When resident ID Cards are turned into the Recreation Center or Arbor Fitness Center we will make every attempt to contact you immediately to notify you that we have your ID card so that you may come and retrieve it.
Emergencies/Injuries For All Buildings
When the fire alarm sounds, all members must evacuate the building. Please follow the exit signs. If the building is staffed please follow instructions from the employees. When exiting the building please leave in an orderly manner and make your way to the parking lot. Please do not group around the doors. Please report any injury, however slight to the building manager on duty, if not a staffed building please report to the Recreation Center office at 854-8707.

Rules & Guidelines for OTOW Facilities
(Applies to all OTOW Facilities)
The following Policies and Procedures apply to all residents and facilities unless stated otherwise.
General Conduct
Appropriate social behavior and respectful treatment of others is expected of all staff, residents and their guests in all communications and while using/visiting any of the amenities, facilities, common and outdoor areas. In the event of violations of any of the rules outlined by the management company verbally or in writing or behavior deemed inappropriate by the Management is strictly prohibited and revocation of privileges of the use of amenity facilities by the resident(s) or their guest(s) may occur. Respect and general consideration by all residents for all other residents and all users of the community should be exercised at all times.
Violations of inappropriate social behavior and disrespect of others include but are not limited to the following:
- Unprofessional conduct such as abusive language or disrespect to staff, volunteers, residents and/or their guests or abuse or defacing of property;
- Unreasonable disturbance or physical abuse or threat of physical abuse or verbal abuse towards staff, volunteers, residents and/or their guests;
- Bullying, annoying or harassing behavior toward staff, volunteers, residents and/or their guests.
- Entering private property or being disrespectful to property owners.
- Failure to follow facility rules and safety procedures.
Management has the authority to take the appropriate action based on the violation and may use the following guideline:
- First violation will result in a letter of reprimand.
- Second violation will result in 30 day loss of privileges.
- Third violation will result in termination of privileges.
Guidelines for Advertising of Resident Cruises
Club Travel may be advertised via poster that are made by the On Top of the World marketing department. All posters will be limited to the size of 5.5 x 8.5. All posters will be dated by the Recreation Department on the day that they are posted and they may remain up for a period of three months. These posters will be posted at the Recreation Center in the locked glass case.
Necessary Documentation for Bus Line Pickup within Community
Please be advised that any club/resident utilizing a bus line for pickup within On Top of the World Communities must have approval from Travel Toppers to utilize the Bus Pad + Parking Area located in the R.V. site and provide the following information to the Recreation Office at least two weeks prior to your trip. If the information below is not provided before the trip, the bus line will not be allowed to pickup within the community.

The R.V. site is the only approved area for club/resident travel parking + coach/Bus pick up.
Certificate of insurance naming On Top of the World Communities, Inc. and Sidney Colen & Associates, LTD as the certificate holder with the following clauses:
“Certificate holder is additional insured for the operations of the names insured.”
“On Top of the World Communities, Inc. their parent, subsidiary, related and affiliated companies and their respective officers, directors, agents and employees of said companies as Additional Insured. All policies are endorsed to provide that the carrier waives the right of subrogation against those named as Additional Insured. Thirty days notice of cancellation.”
The certificate is needed two weeks prior to the trip so that we may provide to our insurance company. Once the certificate has been provided for the bus line, it will suffice for each trip until the policy expires.
Garden Club Rules & Procedures
There are three gardens for use within the OTOW communities for use by residents.
They are located in the following areas:
- Garden Club 99th St. Rd – Right in Front of the Water Tower(Click for rules)
- Tower & Garden Club Victory Garden – Located to the left of the Post Office Boxes(Click for rules)
- Avalon Garden Club – Located near the entrance of the Avalon Neighborhood (Click for rules)
If interested in starting a garden you will need to contact the appropriate contact person who is listed in the OTOW Activities Directory which is located in the front of your OTOW Phone Directory and for the Avalon Garden please contact the Recreation Office.
Community Bulletin Boards
All announcements should be submitted to the Recreation Office no later than eight weeks prior to the event. Marketing will make the announcements on 4×6 cards and submit them to the Recreation Department for posting. Items for sale or solicitation will not be permitted on these bulletin boards.
Items for sale may be posted on the bulletin board located in the lobby of the Library. Non glass enclosed bulletin boards located at all post offices. The 3×5 card must be dated as all cards are removed after thirty days.

Recreation Center Pool
Aquacise classes meet M-W-F from 11:00 am to 12:00 pm, please be courteous and please use other end of pool. Open swimming to all residents from 12:00 p.m. – dusk. The Recreation Center pool will be closed for cleaning the last Wednesday of the month.

The Lodge at Candler Hills Pool

- Facilities are for use by Candler Hills residents and their guest(s) only, and resident I.D.’s are required.
- Food and beverages in approved containers and coolers are allowed on the pool deck, but must be a minimum of 4 feet from the edge of the pool.
- No glass containers or animals allowed in fenced pool area.
- Guest(s) under 15 years of age may use the pool from 12 noon to dusk, and must be accompanied by parent or resident.
- During weekends and holidays, there are no time restrictions for guests under the age of 15.
- Swim wear only.
- Diaper age children must wear leak proof swim wear.
- Bathing load capacity is 125.
- Do not use the pool if you are ill with diarrhea and for two weeks following.
- Shower before entering pool.
- Do not swallow the water, it is recirculated.
- No running, jumping, diving or horseplay in or around the pool.
- No throwing of objects or littering.
- No tobacco products, smoking or e-cigarettes at this facility.
- Water wings, noodles and infant flotation device are allowed, but please no tubes, rafts or inflatables.
- Exit pool at first sign of a thunderstorm.

During weekends and holidays, there are no time restrictions for guests under 15. The Candler pool & spa will be closed for cleaning the 2nd Wednesday of the month – stated in rules.

90th Street Dog Park
Dog Park Rules
- Park is closed dusk to dawn
- Owners must clean up after their dog(s)
- No aggressive dogs allowed
- Owners are liable for their dog’s behavior
- Dogs must be leashed when outside fence
- All dogs must be accompanied by an adult
- Dogs must be under their owner’s control at all times
- No children without an adult

- Introduce new dogs with caution

The dog park will be closed on the last Friday of the month from 7:00 am to 11:00 am for spraying.
Submission Form Procedures
The On Top of the World Communities accepts all legible submission forms from residents and employees only, however, On Top of the World reserves the right to remove any unapproved items placed on the bulletin boards.
Please ensure your information is correct, dated and signed. Please note if your submission form is not dated and signed it will not be valid. Please allow approximately three to four weeks for all submissions.
All announcements will run for one month prior to the date of the event or function, and will be removed the day following the event.
The locations of the Poster submission forms are located in the Recreation Center Office.
Submission Rules:
- Identify the “Club Name & Title of Event” by filling in the appropriate box.
- Be sure the day, date, time and the location are filled in and correct.
- If the event requires ticket sales, please state the date, place, time and cost of the tickets.
- Contact person and phone number is required on all submission forms.
- If entertainment will be provided list the person or group name.
- A brief description of the event is limited to ten words or less.
- Please check the appropriate box for adding or deleting a screen. This is required to inform the Recreation Center office of your type of submission. Return all submission forms to the Recreation Center office for approval. The white copy of your submission form will be forwarded to the Marketing Department for the web site by the Recreation Center Department. The yellow copy will be retained by the Recreation Center Department.
Event Rules
Rules & Guidelines for Hosting an Event
(Applies to all OTOW Facilities)
The following Facility Policies and Procedures apply to all events held at On Top of the World facilities, however the terms and conditions of each contract may vary, and the specifics defined by your Facility Agreement supersede all other statements.
Facility Request Form
These forms can be found in the Recreation Center. Prior to utilizing any of the facilities at On Top of The World Communities, a Facility Request form must be filled out and approved by the recreation office. The white copy of the form will be retained by the Recreation Center Office and the yellow copy is provided to the resident and should be with the resident when utilizing the room/rooms at On Top of The World. Should a challenge be made by another over the use of the room/rooms, the resident will be able to demonstrate the right to use the facility through the approved yellow copy of the form.
With the increase in the demand for the use of rooms, reservation minimums do apply. Reserving rooms at any facility requires a minimum of 10 people to utilize the room in order to book it.
Room/rooms booked for events such as weddings, showers, birthday parties or anniversary parties may only be reserved for a resident or a resident’s immediate family which may include spouse, mother, father, children, stepchildren, grandchildren, brothers and sisters. Please note, no religious services are allowed within On Top of the World Communities, Inc. facilities.
Building Property
All building equipment and supplies assigned to a building are the property of said building and may not be moved to another building. This pertains to but is not limited to AV Equipment, tables, chairs and any other equipment or supplies that were purchased for the building.

The fee may be fully refunded if rooms and facilities are left as described below.
- Totally cleaned up – tables wiped, chairs replaced, no food or other trash on floor.
- Garbage is bagged and placed in dumpster.
- No spills, which would require additional clean up or carpet cleaning.
The fee will not apply to events catered by Friendship Catering, as they will be responsible for cleanup.
There are no BYOB events allowed at the Activity Center, Recreation Hobby Building, Recreation Center Ballroom, the Arbor Fitness Center, the Arbor Conference Center, and Circle Square Cultural Center. If you are requiring alcohol for your event please contact the On Top of the World Hospitality Division. No alcohol may be consumed unless purchased from license holder.
Cleanup
No items may be stored overnight without prior consent of the Recreation Center Office. Any non-approved items left after an event will be regarded as trash and removed. For areas left in disarray, a clean up fee may be assessed and billed to the resident responsible for the room reservation.

Daytime Meetings
All facilities are limited to minimal meeting equipment. The resident should arrange all audiovisual equipment, as well as additional equipment rentals, that the Recreation Office does not provide. The resident’s contracted vendor or the resident must set up any additional equipment.
All Other Events
The Recreation Office does not provide any equipment for events.

Equipment
Equipment such as volleyballs, racquetballs, racquets and goggles are available for resident use. Please see gym attendant for pick-up and return of equipment. There is a $15.00 fee for all lost or damaged racquets. Golf clubs and golf balls for miniature golf are located in a plastic storage bin at hole 1 of mini golf course. Please return equipment to storage bin.
Fitness Center attendant present from opening to close. Staff present at all times to help residents.
Fitness Center Guidelines
- Upon entering the Recreation Fitness Center, you agree THAT YOU SHALL assume the risk of exercising and/or utilizing these facilities and equipment and agree to abide by all Rules and Regulations posted within the center.
- Remember to bring your ID card upon entering the fitness center. Only residents who have an ID card are permitted to use the facility. Guests must come accompanied by a resident. Please check with the fitness center regarding the daily and weekly guest fees.
- It is recommended that you consult a physician before beginning an exercise program.
- Please sign-in at the desk before exercising.
- If you experience dizziness, shortness of breath, pain in the chest, arms or nausea, stop exercising immediately. Promptly ask the fitness attendant to assist you.
- When working out, please do not rest on the machines when others are waiting to use them. Move on to the next machine.
- Please limit your cardiovascular work to 30 minutes if others are waiting to use the exercise equipment. Sign-up sheets are available. After signing-up, please be ready to use the equipment whenever it is your turn.
- If you are not sure how to use a machine, please ask our fitness attendants or our personal trainer for help.
- Do not exceed the recommended time for the steam room (10 minutes), sauna (8 minutes) and whirlpool (5 minutes).
- Dress in comfortable and proper attire. Shirts are mandatory; please wear one that covers the chest and back areas.
- For your protection, closed-toe and closed-heel athletic shoes should be worn.
- Open-toe and open-heel shoes are not permitted.
- Please do not eat or chew gum while exercising. Food in the fitness area is not permitted.
- Report equipment problems to the fitness center attendant.
- Store your personal items in the day lockers situated in the restrooms. Please do not leave personal items overnight and remove lock.
- All free weights and fitness balls need to be put back on the racks or designated areas after use.
Guest Policy Health and Recreation
The fee for a guest is $8.25 a day and $35.00 a week to utilize the fitness center. No reservations are necessary. No one under the age of 15 is allowed in the fitness center. A resident may bring two guests per visit. The resident leaves their ID card at the front desk.
Policy on Physical Therapist for Fitness Center
Physical Therapist may come into the Recreation Fitness Center one time to demonstrate the physical therapy routine for the resident on our equipment. Physical Therapists are not insured or approved for use of our private facility otherwise.
Pickleball Overview and Facility Rules & Regulations
Recreation Center Pickleball Overview
There are twelve pickleball courts at the Recreation Center. Pickleball schedules are available in the Recreation and Wellness Program Guide and in the On Top of the World newspaper.

The Pickleball courts are for the use by OTOW residents and their guests, and for the participants in approved and sanctioned events.
Dress Code
Proper attire and equipment are required at all times. Shoes which may damage the court surface, bathing suits, fishnet shirts, or other unkempt or inappropriate attire or equipment are not permitted on the courts.
Court Reservations
Group playing days and times are posted on the bulletin board located on the court premises. Outside the courts playing times, the courts are open from 8:00 a.m. to 9:00 p.m. Reservations are not necessary at the present time, however, reservations may be required in the future as the need arises.
Guest Play
All guests must register at the Recreation Center Office or Fitness Center Office. Children under the age of 12 can only use the courts outside the scheduled times and only when a resident player is present. All guests must be accompanied by the inviting OTOW resident, and the resident is responsible for paying a $5.00 guest fee per guest prior to play. Out of town and over-night house guests may play without limitations at a cost of $5.00 per day (per guest) or $15.00 per week, any time the resident is present. Reciprocal Gated-community and Pickleball league play are exempt from guest-play rules so long as players come to OTOW as a group. Residents must complete a Club Guest Notification form and submit to the Recreation Center Office one week prior to the guests entering the community.
Leagues & Special Events
The formation of leagues, inter-community teams and special events must be coordinated with the Director in charge of racquet sports. Special events playing times must be posted on the bulletin board well in advance.

Other
- When players are waiting for courts, play will be limited to two games, or twenty minutes. Waiting players are permitted to ask players occupying the courts beyond these times to relinquish the courts.
- Pets are not allowed on the courts.
- Trash must be placed in the appropriate receptacles.
- Only non-alcoholic beverages and non-breakable containers are allowed on the grounds of the Pickleball courts.
- Smoking is not allowed.
- Players should monitor compliance with these rules as well as with the “Rules of
- Etiquette” posted on the bulletin board.
Racquetball Courts Guidelines
Members must wear proper non-marking rubber-soled shoes. No street shoes are allowed. Eye goggles must be worn during play. The courts are designed for racquetball, badminton, or Wallyball only. All residents are required to sign in before playing. Any guest of residents must sign-in and pay the fitness center attendant a guest fee of $7.50.

Arbor Tennis Club
If you are looking for a more competitive game of tennis, you will want to become a member of our Arbor Tennis Club. Tennis members enjoy a more structured program. Tennis clinics and lessons are available. You may also participate in USTA leagues, tournaments and other competitive play. All are run by our full-time certified professional Tennis Director on the club’s Plexicushion Prestige Acrylic playing surface courts.
Arbor Tennis Club General Rules & Procedures
FACILITY USAGE
The Arbor tennis courts are for the use of its members and their guests, the Tennis Director, his staff and pupils; and for the participants of sanctioned events.

Tee shirts with non-tennis related graphic designs, or inappropriate graphic designs, undershirts, men’s sleeveless shirts, such as tank tops and “muscle shirts”, fishnet shirts, cut-offs, Bermudas, blue jeans, bathing suits, gym shorts, slacks, and walking shorts are not permitted.
COURT RESERVATIONS
Reservations can be made up to three days in advance for courts two through five, for any time of the day, and for court one, when there is no scheduled instruction or scheduled events. Special events, teaching, and league play take precedence over normal play reservations. Courts may be reserved between 8:00 am and 8:00 pm. Reservation sheets are posted at The Arbor Fitness Center. Telephone reservations will not be accepted. Members can reserve only one court per start time. Courts may be reserved for one hour for singles, and two hours for doubles. Two names must be listed for singles, and four names for doubles. Reservations are forfeited fifteen minutes after the reservation-start time, if one player is absent for singles, or two players are absent for doubles. Players are urged to cancel in advance whenever possible. Abuse of non-appearance without prior cancellation, will result in restrictions in the ability to reserve a court.
GUEST PLAY
All guests and sponsoring members must register on the sign-up sheet. At least one member must be a part of the group containing guest players.
LEAGUES AND SPECIAL EVENTS
The formation of league teams, inter community teams, and special events, must be coordinated with the Director of Tennis. Play in these events may not start earlier than 10:00 am on weekdays, and 11:00 am on weekends, except for events within The Club.
OTHER

Waiting players are permitted to ask players who have occupied the courts beyond these times, to relinquish the courts. Only non-alcoholic beverages, and non-breakable containers are allowed within the fenced area of the courts. Smoking is prohibited on the grounds of the tennis courts. The Tennis Director has the authority to ask anyone to leave the courts for infraction of any of these rules and regulations, and will also monitor compliance with the “Un-Written Rules of Tennis”, otherwise known as “Tennis Etiquette”.
Tennis Etiquette
Court etiquette is not explicitly spelled out in the rules, but it should be familiar territory to a tennis player who wants to be known as sportsmanlike and mannerly. Are you obeying these rules?
- The oldest tradition in tennis is to give your opponent the benefit of the doubt. This means that ball that can not be called out with surety is presumed to be good and continues in play.
- No point should be replayed because a player is not sure if a ball was in or out.
- It is both, the obligation and prerogative of a player to call all balls in his court, to help his opponent make calls when the opponent requests it, and to call against himself(with the exception of his partner’s first service), any ball that he sees clearly out on his opponents side of the court.
- Returning a service that is obviously out (accompanied by an out call) is a form of rudeness and when the receiver knows that in making these returns he bothers the server, it is gamesmanship.
- Compliance with the foot fault rule is very much a function of a player’s personal honor system.
- When play is in progress do not go behind another court to retrieve a ball or hit a lose ball to that court. Do not ask for one of your balls until the point in play on the adjoining court has stopped. In returning a lose ball to another court, do not hit it aimlessly, as if you do not care where it goes as long as it leaves your court. Instead, pick up the ball and hit it gently so that it goes directly to one of the players on the court, preferably the server, or gently roll it to the back fence if no one is looking for it.
- Enter and exit between points. Wait until the point in progress is over before entering or leaving through another court. It is not only courteous, but safer for every one.
- Retrieve stray balls during breaks. If you know your tennis etiquette, you know that the only time you should go into the next court to retrieve a ball is when the point is over. Better yet, politely ask for those players to return your ball, but ask only during a break in play. On the other hand, it is common courtesy to make sure stray balls are returned to the proper courts promptly.
- Keep your voice down. Yes, tennis is a social game and you should have fun. But, there is a time for social chit-chat, and it is not on the tennis court. The noise might not be disrupting your group, but, there are other people to consider. If you must talk, keep it to a minimum, and keep the decibel level down. If you have a problem, meet your opponent at the net. Don’t discuss it by yelling from baseline to baseline.
- Always announce the score. It makes life a whole lot easier if the server announces the score before each serve. That way there won’t be any arguments over the score. The same holds true for line calls. Call the ball loudly and clearly.
- Ease up on practice returns. When your opponent is taking practice serves don’t smack the ball back with your hardest returns. Instead, catch a few serves so your opponent can concentrate on his delivery. He won’t have much practice if he has to duck your returns. How do you practice your return?…Simple. After your opponent has hit a few serves, simply announce “I am going to return these”. At least that way, he will be ready for them.
- Learn and play by the rules. It is common courtesy and a written rule to know the rules of the game and to play by them. A knowledgeable, mannerly, courteous player is the best representative of the game, the way it was intended to be played. So, make it a point to play by the rules. The written ones and the unwritten ones!
90th Street Dog Park
Golf clubs and golf balls for miniature golf are located in a plastic storage bin at hole 1 of mini golf course. Please return equipment to storage bin.
- Resident must accompany guests under 15 years of age.
- All play must begin behind hole sign.
- Play an out of bounds ball from where it went out of bounds, and no closer to the hole. Take a one stroke penalty.
- Balls that fall in rock hazards can be removed with a one stroke penalty and placed no closer to the hole.
- The ball can be moved out four inches from the walls or obstacles without penalty.
- Return equipment to its proper place.
- No running or unsportsmanlike conduct.
Lockers
All lockers are day lockers. Please do not leave valuables in the lockers. If locks are left on the lockers they will be removed nightly.
Steam Room, Sauna, & Whirlpool
- Please rinse off prior to entering whirlpool.
- Nudity is not allowed, bathing suit must be worn.
- No additives, oils, bubbles, etc., are allowed in wet rooms.
- Appropriate behavior is required at all times.
- All doors must be closed at all times.
- No children under the age of 15 are allowed in the steam room, sauna, or whirlpool.
- On the second and fourth Tuesday of every month the whirlpools are closed from 6:30 a.m. to 2:00 p.m. for deep cleaning.
- Do not exceed the recommended time for the steam room (10 minutes), sauna (8 minutes) and whirlpool (5 minutes).

Guest Policy
The fee for a guest to utilize the fitness center is $9.00 a day. There is no guest fee for the pool area. The resident must first see The Arbors Fitness Center attendant to pay all the appropriate fees for their guests before utilizing the facility. No one under the age of 15 is permitted in the fitness center or the pool areas.

The Lodge at Candler Hills
Community Use of Amenities
Under no circumstances may community furniture or equipment be removed from the facility. Items may not be removed or placed on any facility walls without approval from management. Candles will not be permitted in any of the facilities. Storage cabinets, boxes and other club items may not be stored in any of the facilities without approval from management. It is the duty of whoever uses the facility to clear away all trash, and leave the room or rooms in a clean and tidy condition.
Any damages to the facilities are to be reported to The Lodge Office, 387-9508. If any such damage is due to the actions of a resident or their guest, repairs may be billed to the resident.
Services
Violations of inappropriate social behavior and disrespect of others include but are not limited to the following:
- Unprofessional conduct such as abusive language or disrespect to staff, volunteers, residents and/or their guests or abuse or defacing of property;
- Unreasonable disturbance or physical abuse or threat of physical abuse or verbal abuse towards staff, volunteers, residents and/or their guests;
- Bullying, annoying or harassing behavior toward staff, volunteers, residents and/or their guests.
- No tobacco products, smoking, vaping, or e-cigarettes within 50’ of Amenities or Facilities.
Management has the authority to take the appropriate action based on the violation and may use the following guideline:
- First violation will result in a letter of reprimand.
- Second violation will result in 30-day loss of privileges.
- Third violation will result in termination of privileges.

- During weekends and holidays, there are no time restrictions for guests under the age of 15.
- Swim wear only.
- Diaper age children must wear leak proof swim wear.
- Bathing load capacity is 125.
- Do not use the pool if you are ill with diarrhea and for two weeks following.
- Shower before entering pool.
- Do not swallow the water, it is recirculated.
- No running, jumping, diving or horseplay in or around the pool.
- No throwing of objects or littering.
- No tobacco products, smoking or e-cigarettes at this facility.
- Water wings, noodles and infant flotation device are allowed, but please no tubes, rafts or inflatables.

Event Information & Rules
Rules and Guidelines for Hosting an Event
(At Any Candler Hills Facility)
The following Facility Policies and Procedures apply to all events held at all Candler Hills facilities, however the terms and conditions of each contract may vary, and the specifics defined by your Facility Agreement supersede all other statements.
Facility Request Forms
These forms can be found in the Recreation Center. Prior to utilizing any of the facilities at On Top of The World Communities, a Facility Request form must be filled out and approved by the recreation office. The white copy of the form will be retained by the Recreation Center Office and the yellow copy is provided to the resident and should be with the resident when utilizing the room/rooms at On Top of The World. Should a challenge be made by another over the use of the room/rooms, the resident will be able to demonstrate the right to use the facility through the approved yellow copy of the form.
With the increase in the demand for the use of rooms, reservation minimums do apply. Reserving rooms at any facility requires a minimum of 10 people to utilize the room in order to book it.
Room/rooms booked for events such as weddings, showers, birthday parties or anniversary parties may only be reserved for a resident or a resident’s immediate family which may include spouse, mother, father, children, stepchildren, grandchildren, brothers and sisters. Please note, no religious services are allowed within On Top of the World Communities, Inc. facilities.
A Food Service Fee will be assessed when utilizing any of the community rooms when food is involved for any event, whether it is catered, potluck or brought in from take out locations such as Lee’s or Publix. The Food Service Fee will be applied as follows:

The fee may be fully refunded if rooms and facilities are left as described below.
- Totally cleaned up – tables wiped, chairs replaced, no food or other trash on floor.
- Garbage is bagged and placed in dumpster.
- No spills, which would require additional clean up or carpet cleaning.
The fee will not apply to events catered by Friendship Catering, as they will be responsible for cleanup.
There are no BYOB events allowed at the Recreation Center Ballroom, the Arbor Fitness Center, the Arbor Conference Center, and Circle Square Cultural Center. If you are requiring alcohol for your event please contact the On Top of the World Hospitality Division. No alcohol may be consumed unless purchased from license holder.
Cleanup
No items may be stored overnight without prior consent of the Recreation Center Office. Any non-approved items left after an event will be regarded as trash and removed. For areas left in disarray, a clean up fee may be assessed and billed to the resident responsible for the room reservation. Rooms should be left in the setup according to the room schematic located on the wall of each Arbor Conference Center Suite. The Recreation Center Ballroom schematic is hanging on the wall by the ballroom doors.
Items for the event may not be delivered to any of the facilities prior to the contracted event date. The Recreation staff is prohibited from loading/unloading, moving, or conveying any deliveries, equipment, or decorations.
Daytime Meetings:
All facilities are limited to minimal meeting equipment. The resident should arrange all audiovisual equipment, as well as additional equipment rentals, that the Recreation Office does not provide. The resident’s contracted vendor or the resident must set up any additional equipment.
All Other Events:
The Recreation Office does not provide any equipment for events.
Building Property
All building equipment and supplies assigned to a building are the property of said building and may not be moved to another building. This pertains to but is not limited to AV Equipment, tables, chairs and any other equipment or supplies that were purchased for the building.
Kitchen
Please ensure all equipment is turned off at the end of the event. Remove all trash from cans and discard in the dumpster.
Wipe down countertops, carts and any other surfaces that was used during the course of your event.
Dishes are available for your use. However, a dishwasher fee is required. If any dishes shall break, you will be responsible for a replacement fee.
All food shall be removed from the kitchen once the event is over. Anything left in the refrigerator or freezer, will be disposed of at the end of the day.
